Terms and Conditions
The information you enter on this form will help us arrange suitable placement for you.
1. Definitions
The terms of this agreement are defined as follows:
1.1 The Company: ProjectsVoyage Co., Ltd. and any person with whom they have a partnership agreement.
1.2 Applicant: Any individual who completes an initial inquiry or application form to participate in The Company’s program.
1.3 Participant: Any individual whose application has been accepted by The Company and has paid the required fees to confirm their place in the program.
1.4 Program: The Hospitality Internship Program provided by The Company.
1.5 Placement: Hotels, resorts, or other hospitality institutions partnered with The Company where the Participant will complete their placement.
1.6 Agreement: Any arrangement made between The Company and the Participant or any modification thereof.
2. Program Inclusions and Exclusions
2.1 Inclusions:
2.1.1To provide Internship placement in hotels or an industry illustrated in the acceptance letter in Thailand.
2.1.2 Support and assistance with the visa process and documentation.
2.1.3 Induction, orientation talk, or document upon or prior to the Participant’s arrival.
2.1.4 In-country assistance, including:
- Coordination of Arrival/Departure transfer at a recommended airport.
- Ongoing support from The Company staff throughout the program.
- 24/7 emergency contact support.
2.1.5 Accommodation:
- Either staff accommodation provided by the Placement or a monthly housing allowance (if accommodation is unavailable).
2.1.6 Certificate of Completion upon successful completion of the program.
2.2 Exclusions:
2.2.1 Flights and travel to Thailand.
2.2.2 Visa application fees and associated expenses.
2.2.3 Personal insurance (Participants must arrange international travel, health, and/or liability insurance).
2.2.4 Personal expenses (e.g., additional meals, entertainment, or non-program-related transport).
2.2.5 Costs for early arrival or extended stay beyond the program dates.
3. Application Process
3.1 Complete an application through The Company’s official channels.
3.2 The Company reserves the right to accept/reject applications. Any agreements not included in the Terms and Conditions must be confirmed in writing by The Company.
3.3 The Company screens and reviews the application.
3.4 A video call is scheduled to discuss preferences and suitability.
3.5 The application is sent to placement partners for consideration.
3.6 The Participant receives up to 5 hotel placement options for initial consideration.
3.7 Upon confirmation of the hotel’s interest, The Company arranges interviews with up to 3 placements.
3.8 Once an offer is received and accepted, the Participant proceeds with the visa application process and prepares for the program start date.
3.9 The Company is not responsible for any results of the Participant before the program commencement date. If the result of a third party (e.g., school/college/university) influences the program period before the commencement date, the Participant is still charged the full program fee.
4. Payment Policy
4.1 Payment Schedules:
4.1.1 The total program fee is EUR 1,850.
4.1.2 An initial enrollment fee of EUR 450 is required upon application acceptance to secure the Participant’s place. This deposit is non-refundable, except where the Company is unable to arrange a suitable placement.
4.1.3 Upon receipt of the enrollment fee, the Company will proceed to find internship placements suitable for the Participant’s consideration.
4.1.4 The enrollment fee is deducted from the total program fee.
4.1.5 The fees outlined in sections 4.1.1 and 4.1.3 are allocated to admissions and application processing fees and are non-refundable unless the Company fails to provide a suitable placement. In such cases, a refund of up to 50% of the initial deposit may apply.
4.1.6 Full payment of the outstanding balance is payable upon receipt of the confirmation letter from the placement or within 7 business days after receiving and accepting an offer letter, whichever comes first. This payment is required to proceed with the visa process and pre-departure preparations.
5. Changes or Unforeseen Circumstances
5.1 If the Participant’s situation changes due to unforeseen circumstances (e.g., medical emergencies, family crises), The Company may evaluate refund requests on a case-by-case basis. Supporting documentation is required. Exceptions are at The Company’s discretion and must be agreed upon in writing at the time of cancellation.
5.2 If the Participant wishes to change program dates or information stated in the acceptance letter after the confirmed placement, additional charges up to EUR 500 or 25% of the program fee (whichever is greater) may apply. Exceptions are at The Company’s discretion and must be agreed upon in writing.
6. Cancellation and Refund Policy
6.1 Cancellation must be submitted in writing by the Participant to the Company. Charges shall apply based on the duration of notice, calculated from the date of the acceptance email.
6.1.1 Before Placement Confirmation:
6.1.1.1 In the event that the Participant cancels due to unforeseen circumstances (e.g., medical emergencies, family crises), the Company may, at its sole discretion, consider a refund request on a case-by-case basis. Supporting documentation shall be required. Any exceptions granted shall be confirmed in writing at the time of cancellation.
6.1.1.2 The deposit referenced in sections 4.1.1 and 4.1.3 is allocated to admissions and application processing fees and is non-refundable, unless the Company is unable to provide a placement suitable for the Participant’s consideration. In such a case, only 50% of the initial deposit may be refunded.
6.1.1.3 The conditions set forth in section 6.1.2.2 shall also apply in the event of non-cooperation by the Participant, including but not limited to:
6.1.1.3.1 Missing or arriving late to scheduled internship interviews;
6.1.1.3.2 Failure to respond to communications from the Company within seventy-two (72) hours, regardless of weekends or public holidays;
6.1.1.3.3 Causing delays to the process due to non-compliance with the agreed payment schedule;
6.1.1.3.4 Refusing an offer that is suitable and/or corresponds to the Participant’s first, second, or third choice as indicated in the acceptance letter, unless otherwise agreed in writing; or refusing to attend interviews suggested by the Company for any reason;
6.1.1.3.5 Directly contacting the placement host (e.g., hotel or internship site) without prior written consent from the Company;
6.1.1.3.6 Making requests beyond the scope of the Company’s guarantees;
6.1.1.3.7 Failing to fulfill the Participant’s responsibilities as stipulated under section 8;
6.1.1.3.8 Communicating through unofficial channels other than the designated email address of the Company;
6.1.1.3.9 Failing to adequately prepare for internship interviews, including missing appointments without providing a minimum of three (3) hours’ prior notice, or failing to research the host company or job functions appropriately;
6.1.1.3.10 Failing three (3) or more internship interviews;
6.1.1.3.11 Failing to provide required documentation requested by the Company or the placement host.
6.1.2 After Placement Confirmation:
6.1.2.1 If cancellation is made after placement confirmation and payment of the initial deposit of EUR 450 and a deposit equivalent to twenty-five percent (25%) of the program fee, but prior to payment of the remaining balance, fifty percent (50%) of the outstanding balance shall be charged.
6.1.2.2 If cancellation occurs after placement confirmation and full payment of the program fee, no refund shall be issued.
6.1.2.3 If the Participant discontinues the program after commencement, regardless of the reason, and not falling under the conditions set forth in section 5.1, the Company shall retain the full program fee, and no refund shall be issued.
6.1.2.4 A full refund shall only be granted if the reason for cancellation is not attributable to the Participant, and provided it does not fall under the conditions described in section 5.1. No compensation shall be made for any additional expenses incurred, including but not limited to flights, insurance, accommodation, and visa fees.
6.1.2.5 All refunds shall be issued net of administrative, currency exchange, and bank transfer fees.
6.1.3 Visa Denial:
6.1.3.1 In the event of a visa denial not attributable to the Participant, a fifty percent (50%) refund of the program fee, excluding the fees referenced in sections 4.1.1 and 4.1.3, may be issued, less any non-recoverable expenses.
6.1.4 Misrepresentation:
6.1.4.1 No refund shall be issued in the event that the Participant provides false or fraudulent information or documentation.
6.1.5 No Refund After Program Commencement:
6.1.5 No refund shall be granted for any reason once the program has commenced, unless otherwise stipulated in section 6.1.2.1.
7. Program Policies
7.1. Placement:
7.1.1. Placement is based on the Participant’s preferences, skills, and the availability of opportunities.
7.1.2. Placements have the right to make internal changes that may affect the program. The Company will ensure that the placement continues to meet the Participant’s goals.
7.1.3. Participants are required to follow all workplace rules and professional conduct standards set by Placement.
7.2. Early Termination:
7.2.1. If a placement terminates an internship contract due to misconduct or unsatisfactory performance, The Company may attempt to arrange an alternative placement. This is not guaranteed and may incur additional costs.
7.2.2. The Company holds no responsibility for costs incurred due to early termination, including accommodation, flights, or visa adjustments.
8.Responsibilities of Participants
8.1. Participants must:
8.1.1. Arrange personal travel, health, and/or liability insurance.
8.1.2. Ensure they meet visa requirements and provide truthful, complete documentation during the application process.
8.1.3. Adhere to Thai laws, Placement policies, and The Company’s guidelines.
8.2. Participants will be held accountable for their conduct. Any actions resulting in legal or financial consequences will be the responsibility of the Participants.
8.3. Participants must notify The Company immediately if their situation changes, such as a change in visa status, personal emergencies, or any other circumstances that may impact their ability to complete the placement.
8.4. It is a Participant’s responsibility to
8.4.1. inform the company if an internship is academic credit-bearing and to submit all related documentation/information to the Company during the initial interview prior to receiving an acceptance letter and paying for a program deposit. Those documents and information include but are not limited to university guidelines/agreement, and the university’s criteria for accepting internship position/ or placement. Failure to do so, the Company will not be responsible and will be entitled to an initial deposit and program fee regardless of any approval or rejection by the participant’s university for any position or placement that the Company secured for the participant. The Company has the right to reject any document submitted regarding the participant’s university guidelines if it is submitted after the Deposit has been received.
8.4.2. to monitor the validity of the immigration visa and inform and consult with Company with a minimum of 30 days prior to an expire date of initial visa, if it needs to extend or to obtain a new visa. If the participant has to obtain the new visa, all costs of obtaining the new visa is a sole responsible of the Participant.
8.4.3. to inform the Company of the arrival flight and receive approval of the flight schedule from the Company prior to book the flights to ensure airport transfer and placement’s start date, accommodation, and all feature that the participant selected are fully confirmed and ready.
9. Health and Safety/Liability
9.1. Participants are required to:
9.1.1. Ensure they are physically and mentally fit for the program.
9.1.2. Obtain any necessary vaccinations or health advice before arrival.
9.1.3. Participants must disclose any pre-existing medical conditions and take personal responsibility for managing their health.
9.1.4. It is the participant’s responsibility and liability for any damages to the Placements during the internship program.
9.2. The Company has no responsibility and liability for loss or damage of the Participant’s passport, any other personal identification, or any part of the immigration visa process, during the transit, or during the registration
9.3. It is the participant’s sole responsibility for all personal items.
9.4. The Company reserves the right to terminate the Participant in any program participation without any compensation if the Company deems the Participant’s action that can be harmful physically and/or mentally to the Participants themself, the Company, the Company’s partner, and all member staff. The decision is at the Company’s sole discretion where the participant agreed fully cooperate.
9.5. The Company’s maximum liability is limited to the Program Fee.
10. Completion and Certification
10.1. Upon successful completion of the program.
10.2. Participants may request a letter of recommendation from The Company or the Placement.
11. Complaints and Disputes
11.1. If issues arise during the program, Participants must first attempt to resolve them directly with the Placement supervisor.
11.2. If the issue remains unresolved, Participants may escalate the complaint to The Company for assistance.
11.3. Complaints must be submitted in writing to The Company to ensure appropriate documentation and resolution.
12. Additional Notes
12.1. The program duration ranges from a minimum of 6 months to a maximum of 12 months.
12.2. Placements are subject to availability and the Participant’s suitability as determined by the Placement.
12.3. The Company reserves the right to make adjustments to the program as needed to ensure the Participant’s safety and satisfaction.
12.4. The participant agreed to sign a Non-Disclosure Agreement (NDA) with the Placement (if demand) Regardless of whether or not the Placement required for the NDA, the participant agrees to keep confidential the intellectual property of the placement. Any work produced during the internship remains the property of the Placement unless specified otherwise in a written confirmation by the participant’s placement. The Company has no responsibility for any of the participants’ actions arising from this matter.
12.5. The Participant hereby not disclose any disputes that may arise regarding the internship or any aspect of the program to other participants, third parties, or any person outside the Company or the placement. The Company reserves the right to claim for any damages that may arise from the information disclosed regarding the dispute by the participant.
12.6. The Company reserves the right to take photographs, or video footage of the participant, for use in the promotional material, with no payment to individuals in the respect of such use. The Company may reproduce the photographs and/or video footage for the promotional material, including without limitation posters, advertisements, and printed publications, on the Company’s website and social media platforms. Copyright in the photographs will belong to the Company. Photographic data is personal data for the purposes of the Thailand Personal Data Protection Act (PDPA) B.E. 2562 (2019) and therefore, the Company will not use the images taken or information without the consent of the Participant. The Company will not use the participant’s images and information provided for any other purpose. By agreeing to these terms and conditions, the Participants consent for their photographic data to be used for the Company’s promotional purposes.
